Privacy Matters
EmergingMed understands that health is a very personal, private subject,
and we want you to feel as comfortable as possible visiting our
website and using its services. This statement sets forth our
Privacy Policy and advises you about the information we collect,
how we collect it, how we secure and protect it, and what choices
you have about how that information is used.
EmergingMed knows that privacy and security are important to you and to all of
our users. Earning and keeping your trust and respect is of primary importance
to us. We pledge to protect your privacy and keep your personal
information secure and confidential. We will not give, sell or distribute your information to any other organization.
Be assured that the personal information you share with EmergingMed is kept strictly confidential
and fully secure unless you, the user, specifically request otherwise.
The personal information we collect
helps us to provide the best possible information on clinical trial options.
Information we collect
EmergingMed is solely responsible for collecting and storing all
personally identifiable information provided by visitors to our
matching and referral service, either through
www.EmergingMed.com or through
one of our syndication partners.
If you have questions about this privacy policy or wish to register an inquiry or complaint, please contact Alexandra Arriola, EmergingMed’s Corporate Privacy Officer at (within the US) 1.877.601.8601, extension 219, or (outside the US) 001.212.679.0072, extension 219, or via email at privacy@emergingmed.com.
We collect information from you in four distinct areas:
- Create a Username and Password
- Create a Patient Profile
- Contact Us Emails
- Submitting an Application to a Trial or Trials
The information we collect in these areas is limited to the
information that you choose to share with us. The information
is stored in the EmergingMed database until you decide to
delete it.
1. To protect your privacy, our Create a Username and Password
form can be filled out anonymously, meaning that no personal
or identifying information is required. Email addresses are
optional, unless you request to be notified when there are
updates to the EmergingMed clinical trials database (which
you can do by clicking the appropriate box). For maximum
protection, we keep this information within our secure,
password-protected environment.
By creating a username and password and providing your
email address, you grant EmergingMed the right to receive,
transmit, monitor, retrieve, store, and use this information
in connection with the operation and maintenance of this
feature. In accordance with the provisions of this Privacy
Policy we will not give, sell, or distribute this information
to any other organization.
2. The Create a Patient Profile form can also be filled out anonymously.
Users can make up a name for themselves, their loved ones,
or patients. Zip codes are required for matching to a clinical
trial site. If you are filling out the questionnaire for
someone else, we do not need to know that person's identity
and we ask you to keep their identity confidential as well.
EmergingMed cannot be held responsible for any personal
disclosure regarding this information by you to any third
party.
When you fill out a patient profile, you grant EmergingMed
the right to receive, transmit, monitor, retrieve, store, and
use this information in connection with the operation and
maintenance of this feature. In accordance with the provisions
of this Privacy Policy we will not give, sell, or distribute
any personally identifying information to any other entity.
3. You may communicate with EmergingMed through ContactUs@EmergingMed.com or by calling (within the US) 1.877.601.8601, extension 210, or (outside the US) 001.212.679.0072, extension 210.
The email will go directly to the Member Services department of
EmergingMed. If you express a problem or complaint about the
EmergingMed matching and referral service, you will receive a
response to your email within two (2) business days.
When you contact us via email through Contact Us, you grant
EmergingMed the right to receive, transmit, monitor, retrieve,
store, and use your personal information in connection with the
operation and maintenance of this feature. In accordance with
the provisions of this Privacy Policy we will not give, sell,
or distribute your personal information.
4. Only when you match to a clinical trial and decide to
submit your interest in one or more trials to EmergingMed
will we ask for your name, address, phone number, and email
address. Contact information is collected on the Submitting
an Application page and used by EmergingMed staff to facilitate
communication between you and the trial coordinator. EmergingMed
will not give your contact information directly to trial
coordinators. Neither will we call you unless you grant us permission
(which you can do by clicking the appropriate box and providing your
phone number). Once communication takes place between you and EmergingMed,
either by phone or through this website, we will assist you in
contacting the clinical trial coordinator. You may revoke your
permission at any time, and EmergingMed will immediately and permanently
cease to follow-up with you.
When you submit an application for one or more clinical
trials, you grant EmergingMed the right to receive, transmit,
monitor, retrieve, store, and use your personal information in
connection with the operation and maintenance of this feature.
In accordance with the provisions of this Privacy Policy we
will not give, sell, or distribute your personal information
to any other entity.
Please keep in mind that in some instances the range of
services available to users is tied to the information
provided. Therefore, if you choose not to provide certain
information or provide information on an anonymous basis,
some services may not be available for your full use.
How we protect your information
EmergingMed keeps all your personal information confidential
on a password-protected system. No other user can view or change
your information without your Username and Password. EmergingMed
puts you, the user, in control of your personal information. Your
information is saved until you edit, update
or delete it. You can edit, update or delete any information
that you have provided by sending an email to ContactUs@EmergingMed.com
or by calling or by calling (within the US) 1.877.601.8601, extension 210, or (outside the US) 001.212.679.0072, extension 210.
EmergingMed wants your personal information to remain as secure
as reasonably possible. That is why we have a system at
EmergingMed that combines leading technical safeguards and a
code of conduct for those employees that are permitted to access
our users’ personal information. On the technical side, EmergingMed
uses Secure Socket Layer (SSL) technology to encrypt and protect your
information while in transit between your computer and EmergingMed’s
secure server to help ensure the integrity and privacy of the
personal information you provide to us.
EmergingMed, Inc., located at 160 Madison Avenue, New York, New York, 10016, United States of America, controls all personal data gathered via its own web site (www.emergingmed.com) as well as all partner websites. All data is secured in a tier 1 hosting facility which is also located in New York, New York. Data-related questions should be directed to Tal Barnea, EmergingMed’s Chief Technology Officer, at (within the US) 1.877.601.8601, extension 211, or (outside the US) 001.212.679.0072, extension 211.
On the employee side, only authorized EmergingMed employees (with special passwords) are permitted or able
to access your personal information. All EmergingMed employees
must abide by our Privacy Policy and those who violate this policy
are subject to disciplinary action, up to and including termination.
In order to provide you with a secure online experience, you will
automatically be logged off of this service if there is no activity
for 45 minutes. To continue, you will need to log in again, using
your Username and Password.
How to update or delete your information
To change your password or email contact information or to delete your username and all the files associated
with that username, send an email to EmergingMed at
ContactUs@EmergingMed.com or call (within the US) 1.877.601.8601, extension 210, or (outside the US) 001.212.679.0072, extension 210.
To update a patient profile (in case your condition or treatment
history changes), click "saved patient profiles."
Find the patient profile you wish to update and click "update"
next to that profile. You will see all of the information you
entered for that profile. You may change any of the answers and click "continue" to save the edited profile.
When you have finished changing your patient profile, you may
resubmit it for matching against the enrollment criteria for
the clinical trials in the EmergingMed database. Or you may go
back to review all of the patient profiles by clicking "saved
patient profiles."
To delete a patient profile, go to "saved patient profiles,"
find the profile you wish to delete and click "delete" to the
right of that patient profile. The information in that
patient profile will no longer be available for matching to
the enrollment criteria of the clinical trials in the EmergingMed
database.
Information gathered through syndication partners
EmergingMed has entered into relationships with several partners
that host the matching and referral service on their websites and in their call centers.
Visitors who enter the EmergingMed matching and referral service
from one of our syndication partners' websites are still bound and protected
by the EmergingMed Privacy Policy. No individually identifying
information will be exchanged between EmergingMed and any of
our syndication partners. In some instances, aggregate (grouped)
information will be provided to these partners in order to monitor
the effectiveness of this syndicated service in helping their
constituents pursue clinical trial options.
What we do about "cookies"
"Cookies" are small pieces of information that are stored by
your browser on your computer’s hard drive. EmergingMed does
not store information about you in cookies that we can find
and use later. Therefore you can feel secure that unless you
choose to share information with EmergingMed in one of the four
areas described earlier, we will not collect any personally
identifiable information about you without your consent.
EmergingMed does employ what are known as "session cookies"
that allow you to move around the website without being forced
to reselect a disease area. Those session cookies are deleted
when you leave EmergingMed. They are not used to track and
store personal information about you or your internet use.
Please be aware that websites to which EmergingMed links may
collect personally identifiable information about you and may
have different practices and policies concerning privacy issues.
This Privacy Policy does not cover the information practices of other websites.
When we disclose information we collect to outside parties
Except as set forth in this Privacy Policy, we will not disclose
to unrelated persons or entities any information you provide to
EmergingMed that could be used to identify or contact you ("personal
information"). Any personal information provided to persons or
entities affiliated with EmergingMed will be treated in accordance
with the terms of this Privacy Policy, unless you are otherwise
notified. In the following limited circumstances we will consider,
and may release, personal information to third parties: (1) to
comply with legal requirements such as a law, regulation, search
warrant, subpoena, or court order; or (2) in special cases, such
as a physical threat to you or others.
With your specific consent, EmergingMed may provide your personal
information to third parties in order to assist you in finding a
clinical trial that may be appropriate for you. Personal
information will only be shared with third parties with your
specific consent, and will be transmitted to those third parties
using specialized encryption software, much like that used in a
banking transaction. EmergingMed may also enclose personal
information in a message sent to you through email or regular
mail at your request. These messages -- which may take the form
of a general update or a specific response to your questions --
will be sent to the email address or physical location you specify.
EmergingMed may provide non-identifying (aggregate) information
about our users to third parties. For example, we might inform
third parties about the number of users of our site who are
interested in information about a particular disease category,
or information about the number of users who live in a particular
geographic region. We may also provide aggregate information to
entities for the purpose of determining whether additional clinical
trials are needed in a particular disease area. Depending on the
circumstances, we may or may not charge third parties for the right
to access this aggregate information.
Except as provided in this section, EmergingMed will not disclose
to unrelated persons or entities any personal information that you
provide to us. The Create a Username and Password and Patient Profile
systems are powerful storage tools
that we hope you will find useful. Please note, however, that
you are responsible for taking all reasonable steps to ensure
that no unauthorized person shall have access to your username and password or Patient
Profile. It is your sole responsibility
to: (1) control the dissemination and use of usernames and
passwords; (2) authorize, monitor, and control access to and
use of your usernames and passwords; and (3) promptly inform
EmergingMed of any need to deactivate a username or password.
You grant EmergingMed the right to receive, transmit, monitor,
retrieve, store, and use your personal information, including
information that may be privileged and confidential under
applicable state and federal laws, in connection with the
operation of or maintenance of your Patient Profile and account.
EmergingMed cannot and does not assume any responsibility or
liability related to the accuracy or inaccuracy of the information
you provide to us. EmergingMed also cannot and does not assume
any responsibility or liability related to your or third parties’
use or misuse of information transmitted or received using
EmergingMed.
Privacy of children
EmergingMed does not collect, maintain, store, or disclose
personal information about children under the age of 13,
and will not do so without first providing parental notification,
obtaining verifiable parental consent, and implementing the
other requirements of the Children’s Online Privacy Protection
Act (COPPA).
Your consent
By creating a username and password (registering)
and filling out a Patient Profile, you grant EmergingMed
the right to receive, transmit, monitor, retrieve, store and
use your personal information, including information that may
be privileged and confidential under applicable state and federal
laws, in connection with the operation or maintenance of these
features.
EmergingMed cannot and does not assume any responsibility
or liability related to the accuracy or inaccuracy of the
information you provide to us. EmergingMed also cannot and does
not assume any responsibility or liability related to your use
or misuse of information transmitted or received on the site.
EmergingMed has the right to suspend or eliminate your right to
use this site and to remove any information that you have placed
on our site. EmergingMed may also change this Privacy Policy at
any time by posting revisions on our website. Your use of the site
constitutes acceptance of the provisions of this Privacy Policy
and your continued use of the site after such changes are posted
constitutes acceptance of each revised Privacy Policy. If you do
not agree to the terms of this Privacy Policy or any revised policy,
please exit this site immediately.
If EmergingMed decides to change how we use personal information
or your personal health information, we will notify you by posting
a notice on the website or by sending you an email if you consented to
receive email communications from us.
